Course Set Up
 

Course Set Up: A course manager should be assigned to mark the course, set up water stop tables, and volunteers to man them.

Multiple arrows at all turns, caution signs for cars at key crossroads.

Water stops just after the mile markers.

Water: Table, small paper cups, large containers of water. Volunteers scoop up water in cups to fill the table. At least three volunteers at a table for even the smallest of races. During race, one worker will fill cups while two workers hand out water. Cary two cups at a time and reach out to runners with one cup and then switch hands and offer the other cup to the next runner. Do not get in front of the runners. Stay on the side of the road and reach out. Runners that want water will come to you. Have one volunteer before the table and one after.  Bigger races should just multiply the personnel. Three people at a water stop should be able to handle 100 runners.  There should be two cups for every runner available at the table. Figure the ounces of the cups and multiply for how much water should be at each water stop.

After the race, The couse manger should follow the last runner/walker. As they go by each water stop and sign, they can pick up the tables, signs and volunteers. he truck will then let the timer know that the last participant has finnished and then can unload the supplies and assist in area breakdown.

Registration set up:

There are four registration areas. Depending on the size of the race determines how many tables are needed.  

Mininum: 4 Tables

One out front with registration forms. Runners will congregate here and fill out forms. Fill the table with forms and pens, if outside, use clipboards. That will allow for wind.

Set up three tables in a row, one for pre registration, one for t shirts and one for day of race registration.

Pre registration will have an alphabetical list of registered runners. Look up the last name and find the number assigned. Hand out a number and the corresponding envelope with the chip inside. Tell the participant three things: Your chip is in the bag, wear the chip around your ankle, and return chip at the finish line. If someone is picking up for a group, you should write the names of each on the proper bag before you give it out. This will prevent family members from wearing the wrong chip.

Day of race is similar. The participant brings you the filled out form. Check to make sure that all information is filled out and legible.  Take the first number from the stack and the corresponding chip. Write the number on the upper right corner of the registration form. Take their payment. If it’s a group or family, write each name on the correct numbered bag. Do one at a time.    Tell the participant three things: Your chip is in the bag, wear the chip around your ankle, and return chip at the finish line. Place the registration form face down and in order. Timing staff will pick up the stack periodically.

Participants can then go to the tee shirt table and pick up their shirt and goodie bag. Write an x on the back of their number to show that they received their goodies.

After the start of the race, registration personnel can then be reassigned to setting up refreshments, and/or to the finish line area to assist the timers in data and chip collection.

 

Finish Line:

We will need 4 people at the finish line to collect chips.

Bottled water should be available in bulk at the finish line! Always figure on twice as much as you think you’ll need. At least two bottles for every runner.
